Cloud vs. on-premise servers for small businesses
Whether your files and apps live in the cloud, on a server in your office, or both, the right answer depends on how your business works.

Should a small business use the cloud or its own server?
Cloud services, such as Microsoft 365 for email and files, move the hardware and much of the maintenance to a provider and make access from anywhere easy. An on-premise server keeps data and apps in your office, which can suit software that must run locally, large files or specific control requirements.
Many small businesses end up hybrid: cloud email and files, with a local server or storage for the apps or data that need it, and backups for both.
- CloudProvider runs the hardware; access anywhere
- On-premiseYour server, your office, your control
- HybridCloud plus local server where needed
- Either wayBackups you have actually tested
Cloud and on-premise compared
| Cloud services | On-premise server | |
|---|---|---|
| Upfront cost | Low; usually per-user subscriptions | Server hardware, licenses and setup |
| Ongoing cost | Monthly or yearly subscriptions | Maintenance, power, replacement every few years |
| Access | From anywhere with internet | Fast in the office; remote access must be set up securely |
| Maintenance | Provider handles the hardware | You or your IT provider handle hardware and updates |
| Control | Shared responsibility with the provider | Full control of hardware and data location |
| Large files and local apps | Can be limited by internet speed | Strong for heavy files and software that must run locally |
| Backup | Still needed; cloud is not automatically a backup | Needed, ideally with an offsite or cloud copy |
Questions that decide it
- Does any software you rely on have to run on a local server?
- How large are the files your team works with every day?
- How often does your team work outside the office?
- How fast and reliable is your internet connection?
- When did you last test a restore from backup?
How TechCore helps
We look at the apps, files, users and internet you have today, then recommend cloud, on-premise or a hybrid setup, and make sure backups are in place and tested.
Common questions
Is the cloud safer than a server in my office?
It can be, because large providers invest heavily in security, but safety depends on setup: strong sign-in, correct sharing permissions and backups. A well-managed local server can also be secure.
Is Microsoft 365 a backup?
Not by itself. Microsoft 365 keeps your data available, but a separate backup protects against deletion, ransomware and mistakes.
When does a small business still need a server?
When software must run locally, files are very large, or there are specific control requirements. Many businesses keep a smaller local server alongside cloud services.
Can you move us to the cloud?
Yes. TechCore plans and handles migrations to cloud services, and can keep a local server for anything that should stay on site.
